Common questions

• Can I run multiple clients in one Openevent account without their data mixing?
  Yes. Every client gets its own workspace with its own team, files, pipeline, offers and invoices, fully separated by default. As the agency, you get a master view that rolls everything up; your clients only ever see their own workspace.
• When my client sees an offer, invoice or ticket page, will it look like Openevent, or like my agency?
  It looks like whichever brand you choose per client. Logos, colours and sender addresses on offers, invoices, ticket pages and confirmation emails are set per workspace, so each client experiences their own brand (or yours). No "Powered by Openevent" footer on client-facing assets.
• Do I have to pay per seat for my team, my clients or my suppliers?
  No per-seat pricing. Openevent is free to register and free to use for most features; agencies pay 1%* on payments processed through the platform (Stripe fees separate). Internal staff, client logins and supplier access are all included, no seat blocks, no per-login surcharge.
• Can I give a client or supplier access without exposing my other clients or my whole workspace?
  Yes. External access is scoped per workspace and per role, a caterer working on Client A's gala can only see Client A's gala, not Client B's launch event or your master pipeline. Permissions are granular: see only, comment, approve or edit specific sections.
• Can I see margin and reporting across all my clients in one place, not just per event?
  Yes. Openevent has three reporting layers, per event, per client, and master across the agency, so you can answer "how did this gala perform" and "what's our pipeline across all 14 clients this quarter" without exporting to spreadsheets. Budgets, payments processed and outstanding invoices roll up automatically.
• I run the same kind of event for different clients, can I reuse a run-of-show, offer or brief template?
  Yes. Run-of-show, offers, supplier briefs and task lists are reusable templates you build once and apply to any client workspace. When you update a master template, you choose whether it propagates to in-flight events or only future ones.
• We use the Openevent AI inbox for several clients. Won't replies sound like generic AI?
  The AI inbox learns each client's tone from past correspondence and approved copy, so a reply for a luxury wedding planner doesn't read like a reply for a corporate tech summit. You review and approve drafts before they send, the AI is the writing assistant, you stay the editor.
• Does Openevent connect to our accounting system, specifically Bexio in Switzerland?
  Yes, Openevent connects to Bexio for Swiss agencies, plus Stripe, Google Calendar, Gmail, Outlook and Notion. Invoices and payments sync so your accountant doesn't have to retype line items from PDFs.
• Can I bill my agency fee and collect deposits separately from event costs?
  Yes. Each client workspace runs its own offers, deposits and invoices, so you can bill your agency fee, take a deposit to lock a date, and invoice event costs separately, each with its own payment terms and paid straight into your Stripe.
• How fast can I onboard a new client?
